QUESTIONS AND ANSWERS FROM THE CHAT Is this for CAE credit? This webinar is not certified for CAE credit. Do you just use a lightning cable to connect your iPad to the computer? Yes - whatever cable/cord you use to connect or charge your iPad/tablet, plug that into your tablet. Then the opposite end (might be a USB, USB-C, lightning, etc) - that goes into your computer. PLAN THIS AHEAD OF TIME. Make sure you can physically connect the external device to your laptop/computer. Then Zoom gives you the option in screen sharing to share your entire screen (never recommended), a specific app or window, the screen from an external device via Airplay or USB connection, or even a portion of your screen (in the Advanced section). Looking for tips: Structuring your day, work space, should we shut the door or learn to work through the house background noise almost like the office noise? It's a balancing act for sure; sometimes more act than balance! When feasible, shut the door and let yourself dedicate time to work without interruption. Sometimes, sitting in a common area with or without headphones can be a compromise. Understand how productive you are in your typical office setting versus at home in a private, quiet, uninterrupted area versus in a common area. What you can accomplish in each of these situations is markedly different. Would it be better to work quietly behind a closed door for 3-4 hours, then take a family break for an hour or two before returning to work for another hour or two? I need to host a presentation just like this. I have not added slide to a Zoom meeting. How are you doing this? A Zoom feature in both meetings and webinars is the option to “share screen”. This resource page should help outline how to do that. There are a lot of options between sharing an entire desktop (not recommended) to sharing only a portion of the screen (advanced option). And everything in between! https://support.zoom.us/hc/en-us/articles/201362153-Sharing-your-screen Zoom has some additional articles on this that may also be of interest: https://support.zoom.us/hc/en-us/articles/201362633-How-Do-I-Start-A-Screen-Share-Meeting- https://support.zoom.us/hc/en-us/sections/201740106-Screen-Sharing We've used Zoom for meetings. How exactly does it work for webinars? Meetings: everyone invited/registered has the option to show/hide their video and/or mute/unmute their microphone. The meeting host ultimately can allow or disallow these options when setting up meetings and even mid-meeting to mute or remove someone. Webinars: very presenter focused; can allow participants to chat (or not); can unmute selected participants if/as needed; can have co-hosts / panelists supporting the webinar from an admin/tech side of things. Can include Q&A options. Webinars require an additional subscription/upgrade from the free zoom account. If you are charging a registration fee for a Zoom webinar, how do you keep people from sharing the link for free? Employ some best practices upfront, including offering group rates, some free webinars, and possibly an agreement during signup that the link will not be shared with others. In the end, there's little to stop someone from recording it and sharing it afterwards, regardless of how much effort we put into stopping them. Sending the confirmation immediately after registering is highly recommended; it does NOT have to contain the final access link or information though. A second email can be sent the morning of the virtual event with final access information, password, etc.. PROMPTS AND DISCUSSIONS FROM THE CHAT What are some tips you all have that have been helping things go more smoothly when working from home? 13:18:04 From Event Garde : I am usually the don’t eat all day and then starving at night type. Scheduling and setting alarms helps me! 13:20:45 From SS : Helping things go smoothly: I set up that physical space on day 1! I know this is so much better for me than working on the couch, etc. Helps me stay in that "work" headspace. 13:21:00 From JO : Getting outside has been key for me, and establishing clear work hours. 13:21:10 From SK To All Panelists : Physical space is crucial for me along with walks for fresh air. 13:21:21 From AJ : Planning meals and setting up physical workspace 13:21:23 From MF : Because we are all sequestered, it is wonderful seeing faces and interacting with people beyond my home! 13:21:38 From PG To All Panelists : working in my kitchen since my husband has the home office. I have a sign up that says "office is open" which means they must be quiet when they come in, and ignore me (no talking) 13:21:27 From KN : I have to keep sugar free gum at my desk to grab instead of walking into the kitchen to snack! 13:21:41 From DR To All Panelists : I started "getting dressed" for work and find it helps with focus and also lets my co-workers know I have started the day 13:22:13 From JE : I agree with getting outside and setting clear work hours. It's been hard having my "work" actually in the house because I usually keep them distinct. I've been keeping work in one room that I can close a door to. Also, taking brief walks throughout the day as small breaks. 13:22:23 From TV : I've set up a specific office space and that has been helpful. Using the slack call feature to connect with team members has been very helpful and crucial for me for that interaction. Who else uses Evernote or something similar? If you use something else for notes and prep, share with us! 13:34:38 From SS : OneNote is great! It's much more versatile than MS Word for note-taking, making to-do lists, idea mapping, etc. 13:35:10 From KX : As a person who likes to keep notebooks, I love the Evernote idea 13:35:42 From DH : Evernote has been extremely helpful for me as well 13:35:56 From AS : I love the apple notes app. you can only share with iCloud users as far as I know, but I love it for personal use. Love it If you use slack, please share with us your favorite thing about it! 13:39:00 From AS : /giphy !! 13:40:00 From AS : it’s also fun to play with zapper & IFTTT for some workflow automation kinds of functions. 13:39:41 From TO To All Panelists : I use and love Teams 13:45:43 From TO To All Panelists : I can help organize different "channels" similar to Slack to work towards special projects. It can be broke down per department, project, or whatever you need. It links with my calendar and we can do video meetings off of it. Plus, many apps link as well. If you have Teams, I highly recommend watching the training video to get started. What is everyone using for their remote meetings? 13:48:38 From EW : I received an email that "Go To" was offering some free capabilities recently- but we're using Zoom so didn't explore further. 13:49:00 From PG To All Panelists : zoom 13:49:41 From TV : for office meetings - staff and team we use slack calls. For webinars for members we are using GoToWebinar 13:49:59 From AS : Google Hangouts - but looking to test alternatives 13:50:20 From TV : For family I use Google Hangouts 13:50:59 From JB : RingCentral manages our phones and with it comes Zoom rooms for each phone number 13:51:03 From Taylor Matsko : GoToMeeting 13:51:33 From JE : We've been using Zoom for work meetings for a while. Finding that Zoom is being used for all kinds of other non-work meetings now as well. 13:53:06 From AS : Can’t wait to test out the alarmed app ! 13:54:23 From AS : i love calendly!! $10/month per user and totally worth it. It is being replaced by Microsoft ToDo. (Microsoft bought it two years ago.) 13:59:21 From Event Garde : For those that will have to pop off in a few… Go to https://eventgarde.com/about/events 13:59:46 From Event Garde : We will be posting all upcoming webinars!
